Guidelines for submission of summaries

To submit a summary, proceed as follows:

  1. To send in the works it is necessary that the author responsible for the submission of the summary is enrolled in the event. It is not necessary to make the payment in the moment of the enrollment. This may be done after the disclosure of the acceptance of your summary. The remaining authors who enroll themselves in the congress shall not send the already enrolled summary.
  2. The remittance of the summary is to be done solely via congress site.
  3. Access the restricted area, supplying your registered login and password during the enrollment. New menus shall be shown.
  4. Click in the “My Works” menu.
  5. Follow the screen instructions to access the summary submission form. Fill in every field of the online form.
  6. Before submitting the summary, kindly revise it carefully. Occasional amendments shall be allowed only up to the final deadline for the remittance of the summaries.

    The author responsible for the submission shall fill up all the fields in the online form. All the communication referring to the scientific works shall only be sent to this author by the enrolled e-mail and he or she shall assume the role of transferring it to the co-authors.

  7. All the summaries shall be sent for presentation in poster.  The 48 best works chosen by the scientific commission shall be selected for oral presentation in platform. The 10 best works shall receive honorable mention certificates. There shall be awarding for the best scientific work, better work of academician, of residing physician and young researcher (up to five years after the end of the residency).
  8. After ending the submission of the summaries, click in the “Disconnect” button.
  9. After the summary submission it shall be sent an automatic e-mail to the author responsible for its remittance, confirming the enrolled information. Check whether all information is correct. In case they are not you must access your restricted area and make the pertinent amendments until the limit date for the summary submission.
  10.  In case you do not receive the automatic e-mail in the same day confirming the remittance, the summary might not have been sent correctly. In this case, contact us informing the event and the occurred problem. It is suggested as well that you check the SPAM box of your e-mail.
  11. For new accesses to the web, it suffices to inform USERNAME and PASSWORD. In case you have forgotten it, use the option “Recall Password”, in the top of the page.

Important information

  • The summary must be sent in English. The presentation with slides must be written in the English language, but the oral presentation may be made in Portuguese, English or Spanish.
  • The deadline for submission of the summaries is Monday, July 02, 2018
  • To receive the certificate of his or her summary after the event, one of the listed authors must have been enrolled and having participated on the event.
  • It shall be accepted until 4 works per enrolled individual. Those who have already reached such number may only be listed in other works as co-authors.
  • It may be included up to 10 authors for each summary. Insert the authors in the desired order.
  • IMPORTANT: The individual who shall present the work must also be included in the authors’ list!
  • The result of the works shall be released in the author’s restricted area, in the menu “My Works” on 10/09/2018.
  • The responsible for the remittance of the work, after obtaining the approval of the latter, must confirm the payment of his or her enrollment up to 24/09/2018. The presentation must be made by the individual indicated by the time of the submission of the work. If it is not possible, another author of the work may undertake the presentation, as long as he or she is enrolled in the event and made the payment of the enrollment fee.
  • Attention: all the material produced about the summaries (annals, certificate, amongst others) shall be a faithful reproduction of the information submitted by the author. Therefore, it is not possible to proceed to amendments as to the spelling of the heading, summary or authors after the limit date for remittance of the works. We emphasize that the supplied information are a full responsibility of the author who submits the summary.
  • The amounts with discount shall respect the dates of the ‘Enrollment fees’ table available in the event site, regardless of the approval date of the works. To ensure the payment with discount it is necessary to respect the dates as described in such table. There shall be no reimbursement of the paid enrollment amounts in case of waiver or absence in the Congress.
  • The final decision of the evaluation commission is considered final, irrevocable and non-appealable, which shall not be revised.  
  • By submitting the works, the authors assume the compliance of the legislations and ethical rules which govern the research with human beings and animals, therein included the approval by the Ethical Committees in Research and on Clinical Ethics on Researches on Animals.
  • The Congress organizing commission shall not be responsible for the enrollment costs, transportation, hotel fees or other generated costs for the presentation of works in any modality.
  • The remittance of the summary represents a commitment of the author(s) to submit the work, if accepted, during the NEURO 2018.



Guidelines for preparation of the summaries

  • The heading must be concise and reflect the study to be presented.
  • The summary text cannot exceed 2,500 characters (not including heading and authorship/membership) with spaces, limit of 250 characters for the heading.
  • The summary shall be typed in a single body, being mandatory for the author to follow the sequence: Introduction, Objective, Method, Results and Conclusion; this determination is not applied for Case Reports/Clinical Cases.
  • The Poster summaries with case reports must be structured into:
  • Case presentation, Discussion and Final Comments. It shall not be included bibliographical references. Considering that the case reports contribute in an important stance for the exchange of experience among the professionals, the Commission recommends that it is sent only reports of common cases with atypical evolution or of really rare cases, which do have important relevance.
  • The institution or institutions wherein the work was performed, as well as the names of the authors MUST NOT be mentioned in the body of the text.
  • The content of the summary must be associated to the chosen topic.
  • It shall not be allowed the utilization of charts or table.
  • References, thanks and financial assistance are not mandatory and, if included, they must be computed as Body of the Summary and must come at the end of the summary.
  • Results based in statements such as “results shall be submitted” and or  “data shall be analyzed” shall not be considered. These must be expounded in the clearest way possible and the conclusions must be based in the submitted data. In such case, the authors must present preliminary results, or clearly inform whether it is an ongoing study, for instance.  Likewise, it shall not be accepted summaries whose results, of one same work, are pulverized in different summaries.
  • Case reports without clear originality and relevance which justify their presentation shall not be accepted. Also works which contain only literature review shall be refused.
  • Commercial names are not allowed, only the generic names of the drugs, written in lowercase.



Challenges in Neurology – Clinical Cases

The Challenges in Neurology – Clinical Cases” of the  XXVIII Brazilian Neurology Congress has as its goal to stimulate the residents and post-graduating physicians in the Neurology area to develop their capacities of oral presentation and bring in uncommon cases for discussion.

The rules for the remittance of the works are:

  • The presenters shall be mandatorily enrolled in the event.  The enrollment in the Congress must be previously made or sent attached to the enrollment for Clinical Cases. Works without the corresponding enrollment shall not be accepted.
  • The works sent for posters cannot be presented in the oral discussions of the Challenges in Neurology; nonetheless, the judging commission may previously suggest to the presenters the insertion of submitted works as poster for the clinical cases session.  
  • Those qualified to send in the works must be residents in the Neurology area or former residents with at most 3 (three) years of termination of the medical residence program. The maximum number of authors per work is 5 (five).
  • The cases shall be previously sent to the Judging Commission, which shall analyze them. The most interesting and educational cases shall be selected for the oral presentation. Each presentation shall have a duration of 15 (fifteen) minutes, divided into the following stages:
    • 5 (five) minutes for the presenter to expound the case;
    • 5 (five) minutes for the discussion by the audience;
    • 5 (five) minutes for the discussion with an expert in the area;
  • Experts in the areas of the selected cases shall be present for discussion.
  • All the cases must have a confirmed diagnosis. Videos and images may be sent, with authorization of the patient in written, which must be sent together with the case.
  • The cases shall be orally presented, by the first author, in slides in the PowerPoint format.
  • The cases must be typed out in Word form, with Arial 11 font, space between lines 1.5cm, justified. They must be saved in Word archive, containing up to 5 (five) text pages and 1 page with images.
  • Send in the exhibits requested by the “My Works” menu, just like a scientific work submission, and the heading must be: Challenges in Neurology – Clinical Cases of the XXVIII Brazilian Neurology Congress – (put in the work theme)

Instructions for video preparation

  • For the presentation form in video of the cases:
  • The video shall be attached / sent in the moment of the summary’s submission. The video must be formatted in anyone of the three next formats: MPEG2, MPEG4 (.mpg), Windows Media 9 (.wmv); or Quick Time (.mov)The  form (.avi) shall not be accepted.
  • IMPORTANT: The video must not last more than 5 minutes. The videos with more than 5 minutes shall be dismissed.
  • T he video must be attached / sent to YOUTUBE and, after such remittance, copy (CTRL+C) the link of the “Incorporate” field and paste (CTRL+V) in the available field in your restricted area.
  • The video must solely contain the information on the case, it shall not be allowed information which identify the patients, physicians or any information which might identify the location of the videos or of the patients.
  • The video may have audio of its own.

CTIONS TO INSERT VIDEO IN YOUTUBE

  • Step 1: Access the site www.youtube.com
  • Step 2: Create an account. If you already have one, go to the next step.
  • Step 3: Make login in your account.
  • Step 4: Click in the button "Send" (Upload) on the top of the page. It is next to the search bar, next to the button “Browse”.
  • Step 5: Choose a video archive. Click in “Browse” to look for the archive in your computer.  
  • Step 6: Click in the button "Upload Video". 
  • Step 7: Insert the details. The necessary information includes the video heading, the video description, the category to which the video belongs to and its tags.
  • Step 8: Choose your Privacy Configurations. Select the “non-listed” option (Non-listed videos do not appear in the YouTube search results, but may be seen by those that do have the link. Hence, do not disclose the link to anybody.)
  • Step 9: In the Advanced Configurations, you may enable or disable the comments and the answers to the videos.
  • Step 10: Click in the Save button. All the information that you have inserted shall be saved when your video stops being loaded. When the bar is fully filled in, you shall have accomplished the remittance of your video to YouTube.



Instructions to the approved works

ORAL PRESENTATION MODALITY

  • The oral presentation shall be made without fail, in  8 minutes for the exposure of the work and shall have 2 minutes for discussion. In case none of the authors show up in the event, the presentation shall be cancelled and it shall not be issued a presentation certification.
  • The presenter must prepare his or her presentation through slides (PowerPoint) and show up 1 hour in advance at the Media Desk/ VIP Room to save the archive in the system.
  • Information on the day and time of the presentation shall be made available in the restricted area of the main author previously stipulated in the congress scientific schedule.


PRINTED POSTER MODALITY

  • MEASUREMENTS FOR THE PREPARATION OF THE POSTER: 1.20 (one meter and twenty centimeters) of HEIGHT x 0.90 (ninety centimeters) of WIDTH

IMPORTANT

  • The posters shall be affixed in the places determined by the organizing commission of the event, on a pre-determined day and time by the judging commission.
  • Bring in a rope or adhesive tape for affixation of the poster, as these shall not be made available in the site.
  • The panel number is available in its restricted area in the “Presentation” field. Such number is very important for based on it, you will know where to affix your poster in the place of the event.
  • The Scientific Commission shall appoint the Judging Commission which shall visit the expounded works, being necessary the presence of one of the authors in the stipulated time for the presentation. The works shall be presented on the established date and time, not being allowed changes.
  • The non-withdrawn posters within the determined period by the event organization shall be discarded.
  • The preparation of the printed poster is a responsibility of the author who shall expound the work during the event.

Time for presentation of the poster: 5 minutes and one minute for discussion


Those responsible for the posters must be available, beside their respective posters, so they can be questioned about their work. In the absence of the presenter, the approved work may be presented by one of its authors

Awarding

  • The 48 best works chosen by the scientific commission shall be selected for oral presentation.
  • The 10 best works shall receive certificates of honorable mention. There shall be awarding for the best scientific work, the best academic work, of residing physician and young researcher (up to five years after the end of the residence).



Publication

The annals of the congress shall be published in the Revista Arquivos de Neuro-Psiquiatria [Neuro-Psychiatry Archives Review], in an electronic format – and shall be made available in the congress site.



Certificates

After the end of the Congress it shall be granted an online certificate of the work as approved to the author responsible for the submission of the work in the site. To print or to make the download, the congress participant shall access the “Certificate” area, located in the initial page of the congress, insert the enrolled e-mail and fill in the “Satisfaction Survey”.

Important: the certificates are not directly sent to the congress participant’s e-mail.

  • It shall be issued only 1 (one) certificate per submitted work. The work certificates shall be printed following the enrolled order of authors.
  • At least one of the authors must be enrolled and show up in the event in order to receive the certificate afterwards.
  • In case the author responsible for the submission of the summary has not shown up in the event, one of the co-authors (who showed up and expounded the work) may request the certificate transfer by contact us
  • Each author may have registered in his or her enrollment up to 4 approved works
